Create a minimum fleet-expense data model

Every entry needs enough context to be validated and compared. Additional fields can be added later, but missing vehicle identity, date or amount is difficult to reconstruct.

Keep vehicle master data separate from transactions. Registration number, VIN, cost centre, department, fuel type, tank or battery capacity, lease dates and responsible manager should be maintained once and referenced by each entry.

Use a seven-stage workflow

Capture: Driver or supplier submits the document and required transaction data promptly.
Validate: The system or reviewer checks vehicle, date, amount, category, odometer and document readability.
Control: Apply duplicate, policy, threshold and plausibility rules.
Approve: Route ordinary and exceptional spending to the correct owner.

Each status needs a clear meaning. “Uploaded” should not be displayed as “approved,” and “exported” does not mean “paid.” Preserve timestamps and the identity of the person who changed the status.

Build controls around exceptions

A control should identify a question, not automatically accuse a driver. Useful rules include:

Odometer lower than the previous accepted entry.
Fuel volume implausible for tank capacity or distance.
Transaction outside the driver's vehicle-assignment period.
Repair above the approval threshold or without a linked work order.

Entry edited after approval or accounting export.

Record why an exception was accepted, corrected or rejected. Excessive alerts teach users to ignore the system, so review false positives and adjust rules without hiding real problems.

Reconcile payment and operational records

A receipt proves a purchase, while a card statement proves a payment movement; neither necessarily contains every field needed by the other. Reconciliation connects them. Define matching tolerances for date and amount, and keep unmatched items in a visible queue.

For fuel cards, import transaction identifiers where available and prevent a driver upload from creating a duplicate expense. For workshop invoices, split maintenance, repair and tyre work when reporting needs that distinction, while retaining the original invoice unchanged. Employee reimbursements require their own submission, approval and payment status.

Choose KPIs with transparent formulas

KPIs should support a decision and reveal their assumptions. A single month can be distorted by annual insurance, tyre replacement or a large repair, so compare both monthly trends and rolling periods.

Never present cost per kilometre as total cost of ownership when depreciation, finance or internal labour are excluded. Name it “recorded operating cost per kilometre” and list the included categories.

A transparent hypothetical example

Assume a service business has eight vans and records €78,400 of defined operating expenses over 192,000 kilometres in twelve months. Its recorded operating cost is €0.408 per kilometre, rounded to €0.41. This is a calculation example, not a claim about a real Fahrnex customer.

Vehicle 4 shows €0.59 per kilometre, but the result alone does not justify replacement. The manager checks mileage, scheduled maintenance, an accident repair, allocation and downtime. If the annual repair is non-recurring, the rolling trend may normalize. If repeated failures and downtime persist, the data supports a documented repair-versus-replacement review.

Digital records, retention and auditability

In Germany, accounting records may be subject to the Fiscal Code, Commercial Code and the Federal Ministry of Finance's GoBD guidance. A photograph stored in a general chat does not automatically satisfy every recordkeeping duty. Required records should remain complete, traceable, available and readable for the applicable period, with changes documented.

Retention periods depend on the document, organization and legal context. Section 257 HGB currently distinguishes, among other things, accounting vouchers from commercial correspondence. Tax rules can also apply. Configure retention with accounting or tax advisers instead of deleting every fleet document after one universal number of years.

For structured electronic invoices, preserve the relevant original structured data rather than treating a rendered PDF as the only record. The current GoBD amendment addresses structured and hybrid electronic invoices; accounting should define the compliant process.

Protect personal and vehicle data

Fleet records can reveal driver identity, location, working patterns, fuel purchases and vehicle identifiers. Under GDPR principles, collect only data needed for a stated purpose, restrict access and define retention. Article 32 requires security appropriate to risk rather than prescribing one universal technology.

Protect accounts with strong authentication and suitable multi-factor controls.
Encrypt appropriate data in transit and at rest.
Back up records and test restoration rather than assuming a backup works.
Log exports, deletions and important permission changes.

Request a demonstration of the complete workflow, including an incorrect entry, rejection, correction, export and restore. Ask whether the system provides:
