Keep vehicle master data separate from transactions. Registration number, VIN, cost centre, department, fuel type, tank or battery capacity, lease dates and responsible manager should be maintained once and referenced by each entry.

Never present cost per kilometre as total cost of ownership when depreciation, finance or internal labour are excluded. Name it “recorded operating cost per kilometre” and list the included categories.
A transparent hypothetical example
Assume a service business has eight vans and records €78,400 of defined operating expenses over 192,000 kilometres in twelve months. Its recorded operating cost is €0.408 per kilometre, rounded to €0.41. This is a calculation example, not a claim about a real Fahrnex customer.

Digital records, retention and auditability
In Germany, accounting records may be subject to the Fiscal Code, Commercial Code and the Federal Ministry of Finance's GoBD guidance. A photograph stored in a general chat does not automatically satisfy every recordkeeping duty. Required records should remain complete, traceable, available and readable for the applicable period, with changes documented.
Retention periods depend on the document, organization and legal context. Section 257 HGB currently distinguishes, among other things, accounting vouchers from commercial correspondence.
